The Studio Production Assistant provides organisational and administrative support to the Production Management team to help us deliver a first-class experience to our Film and TV customers, maximise sales and operate efficiently. The role will provide broad support across a range of activities including:
- Coordinating sales enquiries through public channels (calls, emails) escalating those of particular interest to the Studio Production Manager and being the first response
- Support the booking of stages and facilities by productions, including updating the bookings system, generating & distributing contracts, and managing small bookings, e.g. meeting rooms and other short-term support facilities
- Generating reports and sharing information with other internal departments to prepare for incoming productions and maintain our facilities.
Principle accountabilities
- Working under close guidance of the Production Management team, coordinate sales enquiries through public email and telephone line, providing the first response and filtering then escalating interesting enquiries to the wider team.
- Provide support to the Production Management team by assisting with the administration of quotes, bookings, contracts and scheduling – including updating the internal booking system and managing smaller bookings, e.g. meeting rooms. Ensures that the correct costs/charges are inputted and that all relevant onboarding forms are completed in line with insurance requirements.
- Organise the logistics for client recces and support these recces alongside the Studio Production Manager to ensure the customers’ requirements can be assessed and provide advice to the productions. Take the lead on smaller recces in some instances.
- Generate reports and send daily/ weekly / monthly emails to internal departments on expected client schedules so departments can plan maintenance works and prepare for subsequent productions.
- Support the team to track potential sales leads and market intel, including productions planned for the UK who may be interested in booking Pinewood or Shepperton facilities.
- Manage the allocation of parking spaces for productions under guidance from the team.
- Support the pre-hire checking process to ensure that facilities are in an appropriate state prior to a new customer moving in, and the off-hire process, to ensure facilities are returned in an appropriate state.
- Assists with general administration and PO processes, as required, including occasional support across specific stages or facilities.
- Takes ownership of key trackers, rate cards, and reports, ensuring they are accurately maintained and regularly updated to support the Production Management team.
- Assists with department ad-hoc requests as required (tours, wrap gifts, event guestlists etc).
Nature and scope
Day to day, the Studio Production Assistant will take direction from others regarding priorities and task management; however, the role requires someone who is proactive, organised, and able to take initiative. This hands-on role demands a dependable, detail-oriented individual who is ready to roll up their sleeves and contribute effectively to the team. The focus is on being responsive, organised, and committed to supporting the smooth running of productions behind the scenes.
The successful candidate will be expected to develop a strong understanding of the Shepperton site (and a working knowledge of the Pinewood site), the facilities available to film and TV productions, and the processes involved in delivering a high-quality service to clients. Full training and support will be provided to build this knowledge.
Skills and experience
Essential criteria
- GCSE or equivalent education
- Experience of working within a client facing / customer service / account management roll
- Knowledge of MS Office, particularly Excel
- Ability to multi-task, work flexibly and to tight deadlines
- Attention to detail
- Well-developed interpersonal and influencing skills
- A passion for the industry and delivering a first-class experience to customers
- Ability to commute to Shepperton Studios, with occasional travel to Pinewood studios
Desirable criteria
- Familiarity with the film/TV production process and departments
- Familiarity with facility booking systems and processes
