Role summary
The Group Facility Services Logistics Supervisor assists with the smooth running of the Facility Services team through monitoring data, building reports and offering insight and recommendations to Facility Services leaders. They are responsible for driving high performance and seeking efficiencies and maintaining budget control, as well as managing two Facility Services Coordinators at Pinewood and Shepperton Studios respectively.
A basic level of financial acumen is needed, and the successful candidate should be competent with Microsoft Excel to an intermediate level.
Principle accountabilities
- Manage and oversee the workloads and performance of the Facility Services Coordinators
- Drive and take ownership of Pinewood’s CAFM system development and usage across the department
- Produce reports and data analytics to review, monitor and identify improvements in operational and cost efficiencies across the department
- Streamline systems and records to provide synergies across the Group
- Responsible for the critical spares process and stock management recording
- Automate planned maintenance schedules and contractor portals, ensuring accurate asset data
- Support the Facility Services’ M&E, Maintenance, Refurbishment and Contract Supervisors with the ordering of bulk materials, job allocation, access scheduling and CAFM system performance and data monitoring metrics
- Liaise with clients and Customer Services Helpdesk to advise and arrange access for reactive works and planned preventative maintenance
- Assist the Group Facility Services Manager in the monitoring of departmental performance and ensure continued improvements in working practices are made, in line with departmental strategy
Skills and experience
Essential criteria
- Strong and demonstrable experience of working as an excellent coordinator, supervisor or small project manager within an operational or facilities management environment
- Experience of working with a CAFM system such as Loc8 or similar
- A customer service mindset is crucial – Must be confident and professional when dealing with customers and able to interact with clients and staff of all levels
- Highly organised, shows initiative and capable of taking responsibility without supervision
Desirable criteria
- Any relevant qualification (e.g. IWFM, IOSH, etc.) is preferred but not essential
