Role summary

Based at Shepperton Studios, the Studio Operations Coordinator provides operational and administrative support to the Head of Production Management and the General Manager.

They are responsible for and provide the day-to-day contact and escalation point for client requests, linked to the Alterations Request Process, Customer Services Team, Access Requests and Studio Communications within the Production Management team, alongside other various other operational tasks that support the department.

Principle accountabilities

  • Coordinate the Company’s Alterations Request Process, collecting relevant information from productions, tenants and customers. Provide regular proactive updates to all stakeholders and coordinate the internal administrative process, and works with client schedules to ensure completed in a timely manner.
  • Support the Head of Production Management & Studio Operations Manager with the day-to-day running and relationship management with key clients and internal stakeholders, working closely with them to ensure that the highest quality offering is maintained.
  • Coordinate the teams occupancy checks alongside the Studio Operations Manager, ensuring that all facilities are checked pre and post hire, coordinating and administrate the billing of damages to productions and tenants.
  • Work with Pinewood’s Finance department and customers’ Finance department teams where appropriate to ensure the timely paying of invoices for recharges to clients.
  • Support the raising, tracking and completion of departmental purchase orders, providing budget support when required to the Head of Production Manager, General Manager and other supporting roles.
  • Coordinate and track all site wide communications for the Operations Facility Services and Projects Departments, ensuring that the Comms Strategy is adhered to.
  • Provide the wider departments with regular relevant and detailed information to allow for the planning and execution of both PPM and reactive works, by ensuring that shooting schedules and production logistics are communicated clearly to all departments.
  • Support the Studio Operations Manager in the identification of any health and safety concerns or violations.
  • Maintaining departmental records such as risk assessments, processes, studio notifications and admin records alongside the Studio Operations Administrator.
  • Oversee the management of the keys across the estate, ensuring records are kept up to date, stock is managed and recharges for damaged of lost items are processed.
  • Deputising for the Studio Operations Manager where/when required.

Skills and experience

  • Customer service mindset. Must be confident and professional when dealing with customers and able to interact with clients and staff of all levels and members of the general public
  • Highly organised, shows initiative and capable of taking responsibility without supervision
  • Strong written communication, must be able to write and send detailed and comprehensive emails and messages
  • Excellent ability to work to tight deadlines and under pressure
  • Strong team player and orientation towards teamwork
  • Excellent attention to detail
